How to Choose a Condominium Manager in Quebec

By Muriel Druart, Client services director

Choosing the right manager for your divided co-ownership is an important decision that will have a direct impact on the value of your building, residents’ quality of life and the financial health of your syndicate. In Quebec, an estimated 600 000 households live in divided co-ownership — and most call on a condominium manager at some point. Here is a complete guide to help you make the right choice.

1. Assess your actual needs

Before contacting managers, ask yourself these questions:

• Do you only need financial management? If your syndicate is running well but the accounting is a headache, a financial package may be enough.
• Are annual general meetings a nightmare? If so, a package that includes administrative management will save you many headaches. Consult our complete guide to AGMs.
• Is building maintenance taking up all your time? Full management includes coordinating work, preventive maintenance and handling emergencies.
• Are you compliant with Bill 16? If your syndicate has not yet completed a contingency fund study or put a maintenance logbook in place, a professional condominium manager can support you.

2. Compare prices — but watch out for surprises

Condominium management fees in Montreal vary considerably:

Be careful: some managers advertise a low base price but add extra fees for each service (sending mail, preparing minutes, a phone call). Always ask for a complete breakdown of what is included. See our transparent rates.

3. Check experience and references

Here are a few essential questions to ask:

• How long have you been managing divided co-ownerships?
• How many buildings do you currently manage?
• Can you provide the contact information for 2-3 client syndicates?
• Do you have experience with buildings of a similar size to ours?
• Are you a member of a professional association (e.g., RGCQ)?

4. Assess the technology offered

In 2026, a modern manager should offer:

• An online portal for co-owners (statements, documents, communications)
• Automated collection of common expenses (no more cheques!)
• Virtual meetings with online voting
• Registered mail for official communications
• Financial reports accessible in real time
• A digital maintenance logbook compliant with Bill 16

Technology is not a luxury — it is what makes it possible to reduce costs while improving service.

5. Understand the contract

Important points to check in the contract:

• Term: be wary of contracts longer than 2 years
• Termination clause: what notice is required?
• Included services vs. extras: everything must be clearly defined
• Annual indexation: does the price increase automatically?
• Data ownership: who keeps the documents if you change managers?

6. Meet the manager in person

A call or meeting will tell you a great deal:

• Do they listen to your concerns?
• Do they explain their services clearly?
• Do they seem organized and professional?
• Who will be your main contact? (Be wary of large firms where you never speak to the same person)

7. Warning signs to watch for

• ❌ No references available
• ❌ Suspiciously low price with no breakdown of services
• ❌ Rigid contract with high termination penalties
• ❌ No online portal or technology tools
• ❌ Difficult communication from the first contact
• ❌ No mention of compliance with Bill 16

In summary

The best manager for your divided co-ownership is one that combines transparent pricing, modern technology, local experience and personal service. Take the time to compare at least 3 quotes before making your decision.
