Financial, administrative and operations management: each package contains the previous one. Here is, in detail, what each covers, how the work is done, and what stays with the board.

multiRent offers three areas of divided co-ownership management that build on one another: financial management (fee collection, budget, financial statements), administrative management (meetings, registers, correspondence, registered mail) and operations management (maintenance, repairs, claims, major work). The board keeps every decision. Prices are public: 10 $, 27 $ or 37 $ per unit per month, with a 210 $ monthly minimum.

Financial management

The books kept, the fees collected, the ledger structured per syndicate — and a board that sees the state of its finances without compiling anything.

Fee collection

Pre-authorised debit on the scheduled date, handling of returned payments, automatic follow-up of late accounts, interest applied as set out in your declaration.

Statements and online payments

Every co-owner sees their statement in the portal and pays online. The board sees accounts in arrears and the payment history.

Arrears and collection

A documented sequence: reminders, notices, formal notice by registered mail. For what follows — legal hypothec, proceedings — we prepare the file and the syndicate’s lawyer acts.

Budget and financial statements

Projected budget prepared for the meeting’s vote, budget tracking for the board during the year, annual financial statements ready for the meeting and for the auditor if your declaration requires one.

Contingency fund

Contributions tracked according to the study’s conclusions, accounted for separately, passed on to the professional who updates the study.

Supplier payments

Invoices are read and entered in the books with their supporting document, then paid according to the approval threshold agreed with the board. A doubt produces a hold, not an entry.

Administrative management

Meetings, registers, correspondence and formal notices — everything a syndicate has to produce, in the right form and on time.

The syndicate’s documentation

Minutes, register of co-owners, declaration of co-ownership and compiled by-laws, maintenance logbook, filings with the Registraire des entreprises. Kept, current, available to the board.

General meetings

Notice within the timelines of your declaration, agenda, financial documents, quorum sheet. Meeting online or in a room, votes and proxies by link, minutes sent afterwards.

Correspondence and formal notices

Routine communications by email and through the portal. Formal notices as tracked physical mail from the same file, with the cost charged to the right syndicate.

Sale files and notaries

Answers to the notary’s questionnaire, syndicate certificate, co-ownership documents: the complete file goes to the notary, without chasing. How we work with notaries.

Administrative support

Collection, amendments to the declaration, drafting of by-laws: we prepare the file and convene what has to be convened, and the syndicate’s lawyer drafts and advises on what is a matter of law.

Compliance

Bill 16 timeline, co-owners’ insurance certificates collected every year, protection of personal information (Law 25). Where your syndicate stands.

Operations management

The building maintained, emergencies handled, work followed through — with a network of vetted, insured subcontractors coordinated by our operations team.

Resident requests

Every request opened in the portal becomes a ticket tracked until it is closed. The co-owner follows its progress themselves; the board has nothing to relay.

Maintenance and repairs

Routine repairs dispatched to our subcontractors and followed until closed. Cleaning of common areas, landscaping and snow removal, plumbing and electrical work by vetted, insured contractors, licensed where the law requires it.

Renovations and major work

Roofing, foundations, doors and windows, masonry and waterproofing: tenders, comparison of bids for the board, site follow-up with the professional in charge.

Claims

Intervention, making the site safe, communication to co-owners, follow-up with the insurer and coordination of the repair work.

Fire inspection and compliance

Coordination of required inspections, follow-up of corrective work, and every intervention recorded in the maintenance logbook.

Suppliers

Vetted and insured, licensed by the Régie du bâtiment where the law requires it. The board approves expenses according to the threshold set in the contract; in an emergency, we act and then report.

Pest management

Inspection, extermination, heat treatment for bed bugs and preventive protection plans, with Gestion Parasitaire du Québec. In a multi-unit building an infestation is handled at the scale of the building, not of one unit; every intervention is recorded in the maintenance logbook. Our partners.

Monthly minimum of 210 $ and a one-time setup fee of 450 $. Amounts before tax. GST and QST apply (14.975%). Exceptional services appear in the schedule attached to the contract, handed over before signature.

Frequently asked questions

Can we take financial management only?

Yes. Many boards start that way and keep the meetings and the maintenance for themselves. The packages build on one another: moving to the next area during the mandate is a board resolution and an amendment, with no transition.

Do you do the work yourselves?

No. multiRent holds no contractor’s licence and does not carry out construction work. We coordinate a network of vetted, insured subcontractors, licensed by the Régie du bâtiment where the law requires it; for major work, the board chooses on bids. A building contractor never enters a private portion without a mandate.

Who approves an expense?

The board, according to the threshold set in the contract. Below it we act and report; above it we submit. In an emergency — a leak, a heating failure in winter — we act to make things safe, then report in writing.

Do you give legal advice?

No. We support the board on the administrative side and prepare the files. For the interpretation of your declaration, a recourse or a dispute, we work with the syndicate’s lawyer, and we will tell you each time that is the case.
