multiRent is committed to protecting the personal information of its members, its partners, the people it works with, and the people who visit its website. The purpose of this privacy policy is to set out transparently our practices regarding the collection, use, communication and protection of your personal information. This policy also explains how to contact us if, for example, you wish to access or correct your personal information.

CONSENT

By browsing our website or using our services, you consent to multiRent collecting, using and communicating your personal information in accordance with this policy and subject to the terms and conditions provided by law.

PERSONAL INFORMATION

Personal information is defined as any information concerning a natural person that allows that person to be identified, directly or indirectly. Personal information includes, among other things: last name, first name, telephone number, email address, and information relating to a person’s employment or education.

USE OF YOUR PERSONAL INFORMATION

multiRent collects, holds, uses or communicates personal information with your consent and for the purposes identified below, unless the law otherwise requires or permits. When you register with multirent.ca or on our buildingstack.com platform, you provide us with personal information such as your name, your email address, your various telephone numbers, your postal address, and any other personal information you agree to share with us. The personal information we collect is what is necessary to carry out our management activities and services, which includes in particular:

  • The membership service that allows you to become a member or client of multiRent
  • The purchase of certain products and services
  • Registration for one of our activities or meetings
  • Communications between you and us
  • Maintenance requests
  • Notices of meetings and other gatherings
  • The collection and processing of your testimonials
  • Research and analysis for business development purposes
  • Satisfaction surveys and questionnaires

AUTOMATED ASSISTANT ON OUR WEBSITE

Our website offers a conversational assistant. It is automated and driven by artificial intelligence; it will tell you so if you ask. It is intended for people considering our services — it has no access to the file of any syndicate under management, and it cannot consult an individual co-owner’s account.

What is collected. The content of your exchange with the assistant, and — only if you choose to provide them — your name, email address, telephone number, the name of your syndicate, your city and the number of units in your co-ownership. A notice is displayed before the conversation begins.

Why. To answer your questions, to follow up on your request, and to prepare a quotation if you ask for one. Where an outgoing action is involved, we send a six-digit code to your email address to confirm that the address is yours.

How. The conversation is stored on our servers. Your IP address is not stored in readable form: we keep only a non-reversible fingerprint, used solely to limit abuse. The assistant does not place any advertising cookie and does not track you across other websites. The text of the conversation is transmitted to our language-model provider, OpenAI, for the sole purpose of generating the replies; no banking information is ever transmitted.

How long. A conversation in which you left no contact details is deleted after 90 days. A conversation attached to a request is kept with the corresponding record and deleted at the latest after three years, or as soon as you ask us to delete it.

SECURITY MEASURES

We take reasonable steps to protect all personal information collected by adopting appropriate security measures. The personal information we collect is saved in secure locations and on controlled servers located in Quebec. However, it is possible that our service providers store personal information on servers located outside Quebec or Canada. Payments you make through our site are handled by the Stripe, BuildingStack and Paysafe payment platforms. multiRent does not collect any banking information about you. When personal information is no longer necessary for the purposes for which it was collected, we ensure that it is destroyed or anonymized, meaning that it can no longer be used to identify you.

THIRD PARTIES WHO MAY HAVE ACCESS TO YOUR PERSONAL INFORMATION

In addition to our staff, certain people may have access to your personal information. Some service providers — for example, businesses that provide support or activities related to the management of the building — may occasionally have access to your personal information in order to provide the required service. The law may require or permit us to communicate your information without your consent, for example under a court order, as part of an investigation, or in an emergency. Unless we have obtained your consent, we never communicate your personal information to anyone other than the people mentioned above.

LINKS TO EXTERNAL SITES

Several sections of our website may contain links to third-party websites that are not subject to our policies. We are not responsible for the privacy practices of those websites.

COOKIES

Cookies are text files sent from a website and saved on your device. They collect certain information in order to interact with the site and make your browsing easier. Some cookies are necessary, such as functional cookies or performance cookies.

ACCESS TO YOUR PERSONAL INFORMATION

You have the right to consult the personal information that concerns you. You may also request that any personal information we hold about you be corrected if it is inaccurate or incomplete. You may suspend or withdraw your consent to the use and communication of the personal information that concerns you.

Make your request in writing to the person responsible identified below. We will respond to your request within thirty (30) days of the date it is received.

CHANGES TO THIS POLICY

This policy may be amended by multiRent at any time. Amendments to this policy take effect as soon as they are posted.
